6 Useful MailGuard Guides to Share with Your Clients

At MailGuard, we pride ourselves on the security that our products give our customers. We recognise that each business operates differently, so to accommodate that, our products have a whole range of customisation options which can further strengthen their security. However, when they’re hidden away in the settings, or written with tech jargon, it may not always be immediately clear what each feature’s benefit is, which is why we have a series of knowledge base articles available in the MailGuard Console.

To assist you in your continued efforts of supporting your clients with their cybersecurity needs, we’ve compiled a list of the most frequently visited help guides. You may like to share with your clients to ensure they’re using MailGuard in a way that’s most effective for them, or you may find them useful yourself to further build your product knowledge.

Here are the articles that MailGuard customers are most commonly visiting:

1. Stacking MailGuard with Microsoft 365

With approximately 345 million users worldwide, it’s pretty likely that at least some of your clients are Microsoft 365 users. This article guides users through the process of inbound and outbound configuration of their MailGuard account with a standard Microsoft 365 account and provides recommended additional steps.

Please note that it’s recommended that users speak with their Microsoft 365 Administrator before proceeding to ensure that no customisations have been made to their account which will make these instructions redundant.

2. How to Configure and Manage Spear Phishing Policies

Spear phishing is one of the costliest types of cybercrime for businesses. In 2021, victims in the US lost almost $2.4 billion to business email compromise scams – this equates to approximately one third of total losses to cybercrime for the year, but only accounted for 2.4% of complaints.

As spear phishing attacks are targeted and typically don’t contain attachments or links, they can often evade traditional email security. MailGuard’s advanced email security enables users to block attempted spear phishing attacks by creating a list of display names of individuals in your business that you want to prevent from being impersonated. It’s critical that your clients are using this feature to prevent spear phishing attacks within their business.

3. Inbound Access Control List (ACL) FAQs

An Access Control List (ACL) prevents third parties from bypassing MailGuard and delivering emails directly to your mail server. This guide helps users to configure their mail servers to only accept SMTP connections from MailGuard servers and helps to further protect their network from the threat of viruses and spam.

4. MailGuard & DKIM

Domain Keys Identified Mail (DKIM) is an email authentication technique that enables the recipient to check if an email was sent and authorised by the owner of that domain. A sender creates the DKIM by “signing” the email with a digital signature. This article provides more information and goes through the benefits of using a DKIM.

5. Setting Up Outbound Filtering

Having outbound filtering enabled for your account allows for virus scanning of each outbound email, ensuring outbound spam emails are caught, and applies content rules to stop particular attachments from leaving your mail system.

This guide goes into depth about the numerous benefits of using outbound filtering and provides links to documentation for setting it up on seven operating systems.

6. How do I Allow/Block (Whitelist/Blacklist) a Sender Address or Domain?

Whitelisting enables users to mark an email address as ‘trusted’, so that correspondence from them is never marked as spam, and blacklisting does the opposite. It’s a simple concept, but very important for your client’s email security.

This guide walks users through the process of whitelisting or blacklisting senders and domains to ensure they’re minimising the chance of ‘unsafe’ emails getting through.
